Whales of Lemuria - Privacy Policy

Effective Date: 3 August 2026

Whales of Lemuria, operated by Conscious Invocations Pty Ltd T/A Whales of Lemuria, respects your privacy and is committed to being clear and straightforward about how we collect, use, and protect your personal information. This Privacy Policy explains our practices for visitors to www.whalesoflemuria.com, clients who book readings or events, and subscribers to our email list.

We know that the work we do together - readings, retreats, and classes - often touches on personal, sensitive, and spiritual matters. We take that trust seriously, and this policy is written to be easy to understand rather than buried in legal jargon.

1. Information We Collect

We collect the following types of information: Contact information - name, email address, and phone number when you book a session, register for an event, or contact us. Payment information - processed through our website platform (Wix) and its payment processors; we do not store any of your payment details, card or bank account information ourselves. Session content - information you share with us during readings, coaching, or retreat conversations, which may include details about your health, relationships, beliefs, or spiritual practice. Session recordings - video and audio recordings of one-on-one Zoom readings and group calls (see Section 3). Communications - emails, messages, or forms you send us. Website usage data - pages visited, browser type, and general engagement, collected automatically through standard analytics and advertising tools (see Section 4).

Because our readings and retreats may involve information about your health, religious or spiritual beliefs, this can be considered “sensitive” or “special category” personal information under some privacy laws. We only collect it because it is necessary to provide our services, and we handle it with additional care.

2. How We Use Your Information

We use the information we collect to: schedule and provide readings, retreats, classes, and other services; process payments and bookings; send appointment confirmations and session recordings; send newsletters, event announcements, and marketing emails (only if you've opted in); respond to your questions and requests; improve our website and offerings; and comply with legal and tax obligations. We do not sell your personal information to third parties, and we never will.

3. Zoom Session Recordings

One-on-one readings conducted over Zoom are recorded so that you can revisit your session. Here is exactly how we handle these recordings: the recording is saved and a private download link is sent to you directly after your session. You have 3 days from the session date to download your recording. After 3 days, the recording file is permanently deleted from Zoom. We do not keep a personal archive of session recordings beyond this window. If you need more time to download your recording, please contact us at info@whalesoflemuria.com before the 3-day window closes.

4. Cookies, Advertising, Analytics & the Meta Pixel

Our website uses cookies and similar tracking technologies to understand how visitors use our site and to run advertising campaigns. Google Analytics - we use Google Analytics to understand how visitors find and use our website; the data we see is aggregated and does not identify you personally. Meta Pixel - we use the Meta (Facebook/Instagram) Pixel on our website. This tool allows us to measure the effectiveness of our ads and to show relevant ads to people who have visited our site. Meta may use this data in accordance with its own privacy policy and may combine it with other information they hold about you. Advertising - we occasionally run ads on Facebook and Instagram. If you interact with one of our ads or visit our site after clicking one, Meta may collect data about that visit. You can control cookies and ad tracking through your browser settings and through your Facebook/Instagram ad preferences. Visitors in the EU/UK will see a cookie consent option where required by law.

5. Email Marketing

If you subscribe to our newsletter or provide your email when booking a service, we may send you updates about readings, retreats, classes, and events. We use Wix and HubSpot to manage our email communications and mailing list. Signing up for our list is always opt-in - we do not add you without your consent. Every email includes an unsubscribe link, and you may opt out at any time. We do not share your email address with third parties for their own marketing purposes.

6. How We Share Your Information

We share personal information only with the service providers that help us run our business, including: Wix - website hosting and payment processing; Stripe, Klarna and PayPal - payment processing for retreat bookings; HubSpot - email marketing and client communications; Zoom - hosting readings and events, and generating session recordings; Google - website analytics; Meta (Facebook/Instagram) - advertising and analytics, as described above. We require these providers to protect your information and use it only for the purposes we've engaged them for. We may also disclose information if required by law, such as to comply with a subpoena or protect our legal rights.

7. Data Retention

We keep personal information only as long as necessary for the purposes described in this policy: client and booking records for as long as needed for our business and tax records, email list information until you unsubscribe or ask us to delete it, and Zoom session recordings for a maximum of 3 days, after which they are permanently deleted.

8. Your Privacy Rights

Our audience is international. As an Australian business, we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Depending on where you live, you may also have rights under laws such as the General Data Protection Regulation (GDPR) or the California Consumer Privacy Act (CCPA), including the right to: know what personal information we hold about you; request a copy of your personal information; request correction of inaccurate information; request deletion of your personal information; opt out of marketing emails at any time; and opt out of the sale or sharing of personal information for advertising (we do not sell data, but this includes certain ad-tracking activity like the Meta Pixel). To exercise any of these rights, contact us at info@whalesoflemuria.com. We will respond within the timeframe required by applicable law. If you are in Australia and are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (oaic.gov.au).

9. Children's Privacy

Our services are intended for adults. We do not knowingly collect personal information from children under 13 (or under 16 in regions where that is the applicable age). If you believe a child has provided us with personal information, please contact us so we can delete it.

10. Data Security

We use reasonable administrative and technical safeguards - including those built into Wix, HubSpot, and Zoom - to protect your personal information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. The “Effective Date” at the top of this page will always show the most recent revision. We encourage you to review this page periodically.
